The executice Assistant provides administrative support in a variety of functions to the Chief Executive Officer and other members of the Executive Team that are focused on increasing the efficiency of the executives.



• Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executives for consideration
• Summarizes, prioritizes and researches information into a concise and usable format for the executives to review
• Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executives
• Creates or directs creation of reports, charts, budgets, and other presentation materials for the executives
• Coordinates the production of the board books
• May be required to work beyond routine office hours during board meetings
• Coordinates high level projects, domestic and international travel arrangement, and meetings to include Board meeting hotel and event needs (meals, meeting space, transportation, etc.)
• Assist with staff meeting and town hall meeting preparations
• Provides meeting support with electronic conferencing tools
• May plan and schedule work and direct other staff to deliver support
• Has a broad knowledge and understanding of the company’s operations and objectives
• Adheres to Organization Policies and processes
• Contributes to moderately complex aspects of projects
• Can work independently or collaboratively
• Anticipates and responds to needs of executives supported
• Prioritizes tasks and handles many concurrent assignments
• Other duties as assigned


• An associate’s degree or equivalent
• 4-7 years of administrative support experience
• Intermediate level experience in Microsoft Office
• Strong attention to detail, accuracy, and quality and follow-up
• Strong verbal and written communications
• Ability to professionally and confidentially interface with all levels of management
• Cultural and ethnic sensitivity and ability to work effectively with a diverse, international workforce

• A Bachelor’s degree and 5 years of direct experience supporting an executive at the C level
• Expert level in PowerPoint, Outlook and calendar management
• Prior experience working in an NGO
• Positive disposition, professional demeanour, exercises good judgement
• Good listener and strong problem-solver
• Shows initiative and is self-directed and motivated
• Works well with general direction and with very limited supervision
• Sensitive to time and budget constraints
• Strong interpersonal and relationship-building skills
• Resourceful, collaborative, team player
• Familiarity with Ipas mission
