  • Overview

    Ipas is a nonprofit organization dedicated to ending preventable deaths and disabilities from unsafe abortions. Through local, national and global partnerships, Ipas works to ensure women can obtain safe, respectful and comprehensive abortion care; including counseling and contraception to prevent unintended pregnancies.

    The Administrative Assistant, Development contributes toward Ipas’s efforts to cultivate, solicit, and steward donors in support of Ipas’s mission and the priorities of the strategic plan. The Administrative Assistant, Development is responsible for providing clerical, logistical, and administrative support to the Development staff. The Administrative Assistant, Development proofreads donor documents, processes invoices, performs data entry, handles meeting, event, and travel logistics, maintains and organizes physical and electronic documents, maintains Development’s intranet sites, and performs other basic office duties.


    The Administrative Assistant, Development:
    • Provides general administrative help to Development unit staff and the Strategic Partnerships Manager, including:

    • Proofreading donor documents and presentations and assisting with formatting and submission of final documents to donors
    • Maintenance of database and other electronic and hard copy records, including email logging
    • Preparing travel arrangements and authorizations for staff and processing travel documentation and expenses in online system
    • Assisting staff with credit card expense coding
    • Note-taking in unit and donor meetings

    • Handles donor gift processing, including checking mail, making copies, entering gift information into the donor database, and producing acknowledgement letters
    • Produces and disseminates regular reports from database and assists with data cleaning projects
    • Works closely with Finance staff to ensure all gifts are recorded in fundraising database and to track late payments
    • Plans and executes catering and other logistics for internal and external meetings, including assisting the Office of the President during biannual Board of Directors meetings
    • Serves as the power user for Development’s intranet sites, facilitating knowledge-sharing, updating the sites as required, and assisting staff with technical questions
    • Fosters and contributes to a team approach within the unit and with other staff
    • Ensures that information related to donor proposals, contacts, and processes are well-documented and accessible to others within the Development Unit and organization, using various tools and databases according to Ipas Development guidelines
    • Performs other duties as assigned


    • Associate’s or Bachelor’s degree
    • 1-2 years of experience in an administrative support role
    • Excellent written and spoken English skills
    • Proficient in Microsoft Office Suite, especially Outlook, Word, and Excel


    • Experience working in a non-profit organization
    • Experience with proofreading
    • Spanish or French skills
    • Working knowledge of databases
    • Experience with Workday, SharePoint, and Microsoft Dynamics CRM
    • Familiarity with Chicago Manual of Style

    • Strong organizational and time management skills
    • Strong interpersonal and communication skills
