  • Overview

    Ipas works globally so that women and girls have improved sexual and reproductive health and rights through enhanced access to and use of safe abortion and contraceptive care.     The Divisional Project Coordinator works closely with NPM to implement Ipas's program in Pakistan. The position liaises with headquarters and country program staff, subcontractors, and consultants in support of timely and high-quality work for programs under implementation. The role adds value by developing and implementing efficient administrative tools and processes, ensuring adherence to Ipas and donor protocols, and supporting the planning and management  of proram funds at divisional/district level. Additionally, the right candidate must be able to collaborate with a diverse set of stakeholders including Department of Health, PWD and other partners as well as effectively coordinate proposal and report development and select activities/scopes of work. This position will be based in the divisional headquarter of the Ipas program focus provinces of Pakistan.

    Responsibilities

    • Provide day to day oversight of the administrative operation of the Divisional support team (DST), ensuring program management processes are organized and efficient
    • Responsible for manangement and support to the DST and achieve program deliverables KPIs related to DST and program in the assigned division 
    • Support and Supervise DST and relevant stakeholders for program operations and implementation, site selection, upgradation, selection and training of providers, follow up support, M&E and data collection, community interventions, research and evaluation and reports
    • Develops and shares reports per program policy meeting the assigned deadlines 
    • Works with the CO unit leads and team for meeting the Ipas minimum standards in all program activities and results  
    • Liase with the country office staff, unit leads for the progress and updates and sharing any challenges and develop and implement solutions in the respective division  
    • Manage calendars, agendas, logistics, and recordkeeping requirements for the DST 
    • Coordinate budget and financial planning process for the DST; monitor actuals and forecasts against budget and produce explanations of variance for DST funds
    • Draft payment requests and ensure timely payment to vendors; review invoices for accuracy and work with management to obtain necessary approvals
    • Author program and project summary sheets with key funding, contractual, and technical information
    • Draft and edit content for subcontracts, proposals, presentations, and reports related to DST programming
    • Coordinate and contribute to quarterly, bi-annual, and annual donor report processes
    • Perform discrete tasks on projects and/or proposal development efforts under the guidance and/or supervision of the Program Manager and unit lead at the country office  
    • Support agenda development and coordination of logistics for workshops

    Requirements

    Minimum 

    • A bachelor’s degree in a relevant social science preferable MPH/MBA, with 3-5 years of related professional and field experience 
    • Demonstrated project management skills preferably experience of project management at division and district level 
    • 1-2 years of supervision experience of project staff 
    • Proven excellent oral and written communication skills. 
    • Proven excellent organizational skills and attention to detail. 
    • Strong computer application/Microsoft Office skills, especially Excel Ability to work in a fast-paced environment and meet deadlines under pressure. 
    • Ability to travel up to 50% 

    Preferred

    • Project management skills with prior district base experience and rural area experience  
    • Good knowledge of women’s sexual and reproductive health and rights 
    • Self-starter with the ability to work both independently and as a collaborative team player, strong

      interpersonal skills, and a problem-solving attitude
